2. Document Purpose & History

 

This document is intended to provide the reader with the necessary steps on how to create an Executive Group.

 

 

iPECS Cloud – Executive Group

 

 

You can set executives and secretaries, to avoid calls to reach executives directly. If you call an executive, depending on your call forward you would reach a secretary first.

 

To create an Executive Group, first go to Executive Group > Executive and click on Add.

 

 

 

Then set the following:

 

 

Site: this is the site your Executive Group would be under.

 

The Executive Name: will be the extension number/name of the Executive.

 

Call Forward to Secretary (Extension Call) and Call Forward to Secretary (Trunk Call) will give you the following options:

 

Yes – All calls will be forward to the Secretaries

Yes (Only for Executive on DND) – When the Executive is on DND, the calls will be forward to the Secretaries

No – No calls will be forward to the Secretaries, will go directly to the Executive phone as usual

No (Override to Executive on DND) – No calls will be forward to the Secretaries, will go directly to the Executive phone even if Executive phone is in DND. It will override DND.

 

Then Direct Call to Executive you can set a few options if you have Call forward to Secretary enabled and your secretary is on DND:

 

Not Allow: Not allow calls to route back to the Executive

When first secretary is in DND: If the first secretary is in DND, the call would be routed to the Executive phone

When all secretaries are in DND: If all secretaries are in DND, the call would be routed to the Executive phone

 

Secretary Call Option: If you have more than one secretary you can choose to ring them as First Idle, Circular or a Multiring group.

 

Extension Message Wait Destination: you can choose Executive or First Secretary

 

Under Secretary you can set extensions or shared lines to be secretaries.

 

 

In Between Executive, you can set other executives to be able to dial each other directly, not following the call forward to secretaries.

 

 

 

Then in Secretary, your Secretary List will be created automatically if you assigned extensions to be a secretary of an executive.

 

 

 

By selecting one extension and clicking on modify, you can set the Direct Call to Executive in other Group to Yes or No, if you allow this secretary to call other executives that he is not part of the group.

 

You can also add other extensions as this secretary’s executive. By doing it, it will automatically create that extension as an Executive.
